1 Start with the experience, not just the collateral

Define what kind of emotional reaction or interaction you want to provoke: Do you want attendees to explore, play, pose, or reflect? Think about the journey through the space: where people arrive, where they pause, where they take photos.

2 Map your key zones

Identify high-impact areas such as entrances, breakout zones, stages, photo-op spots. Specify which formats you want in each zone, e.g. large letters for a stage, vinyl graphics in corridors, interactive collateral at registration.

3 Be clear on materials and finishes

If you want models, textured surfaces, or dimensional lettering, note this early as it may affect lead times and cost. Make decisions on sustainability: are recycled materials or reusable panels important? Let your print partner know.

4 Incorporate technology thoughtfully

If you plan to add AR or QR code activations, mark where triggers should go (on walls, on signage, on handouts). Brief whether you need guides or signage to show people how to interact (e.g. “Scan here to download the show guide”).

5 Plan for distribution
